Subscriptions, billing & refunds

Last updated 8 October 2026

Trials, prices, payment, cancellation, refunds and how delivery works.

The free trial

A new clinic gets the full application free for three days. Every feature is open, no card is asked for, and nothing is charged automatically — if you do nothing at the end, no payment is taken.

Plans, prices and tax

Plans and their prices are shown to you before you subscribe and on your invoice, in Indian rupees. What a plan includes — features, people, support — is listed with it.

A GST tax invoice is issued where GST applies, with our GSTIN shown as Indian law requires.

How payment is made

We send you the payment details for your plan — a UPI id, a bank transfer, or a payment link from our payment partner. Card and UPI credentials are entered with that provider over its own secure page; they never reach our servers and we never store them.

Your subscription is activated once the payment is confirmed, which normally takes a few minutes.

Term and renewal

A subscription runs for the term stated on your invoice — usually a year. It does not renew automatically and no money is taken without an invoice and your instruction; we contact you before it runs out.

If a subscription is not paid for

Nothing is deleted. The application keeps every record exactly where it is and switches to read-only: you can open, read, print and back up, but you cannot save new records or edit old ones until the subscription is paid for.

Cancelling

Cancel at any time by writing to support@clinicsutra.com or messaging WhatsApp +919428953367. There is no cancellation fee and no notice period beyond the term you have already paid for — you keep access until the end of that term, and the read-only switch applies after it.

Refunds

Because the service is digital and delivered the moment it is activated, a subscription for a term already in use is not normally refunded when you cancel. We do refund, in full or in part, where:

  • you were charged twice, or charged for a plan you did not order;
  • payment was taken but the subscription was never activated;
  • a fault on our side made the service unusable for a sustained part of the term and we could not fix it in a reasonable time;
  • the law gives you a right to a refund, which this policy never takes away.

How a refund is paid

Ask at support@clinicsutra.com with the invoice or payment reference. Approved refunds go back to the original payment method within 7 to 10 working days of approval — the bank or wallet may add a little more time. We do not refund in cash or by any other route.

Failed, duplicate and disputed payments

A payment that fails leaves the subscription as it was. If the same payment appears twice, tell us and the extra is refunded without argument. If you raise a dispute with your bank, we will cooperate, but please talk to us first — almost every case is resolved faster that way.

Changes to prices

Prices may change over time. A change never applies to a term you have already paid for; you hear about it before any new invoice, and you are free not to renew.

Delivery and activation

There are no physical goods, nothing is shipped, and there is no delivery address. What you buy is a digital subscription, and delivery means access: your clinic is activated or your subscription extended as soon as the payment is confirmed, normally within minutes, by the message you receive from us.

If payment succeeded and nothing arrived within a few hours, write to support@clinicsutra.com with the payment reference and we will activate it the same day.

Questions and disputes

Billing questions go to support@clinicsutra.com or WhatsApp +919428953367. If you are not satisfied with the answer, the Grievance Redressal page explains the 30-day process and where to go after it, including your right to complain before a consumer forum under the Consumer Protection Act, 2019.
